The cashier picks up your product. Swipes it over the scanner. The register beeps — but nothing rings up. She tries again. Nothing. She types the number in manually, can't find it in the system. Sets it aside.
Your product doesn't sell today. Depending on how that cashier's manager handles it, your product may not be on that shelf next week.
The barcode is the handshake. When it works, the transaction is invisible. When it fails, the transaction fails.

What a UPC barcode is
UPC stands for Universal Product Code. It's a 12-digit number — visible below the barcode — that uniquely identifies a product. No two products from legitimate manufacturers share the same UPC.
The number is split into two parts: the company prefix (issued by GS1 to your brand) and the product number (assigned by you within your prefix). A check digit at the end validates the code mathematically.
The barcode itself is that number encoded as parallel bars of varying widths and gaps. The scanner reads the light reflected off those bars and converts it back to the 12-digit number.
How the POS handshake works
When the cashier scans your product, the 12-digit UPC travels from the scanner to the point-of-sale software. The POS looks up that number in its product database. If it finds a match, it returns the product name, price, and department. The sale records. Inventory decrements.
If it doesn't find a match — because your product was added to the system with a different UPC, or because the retailer never uploaded your product data — the handshake fails.
The retailer's POS database is populated from what they call a "product setup" form. When you approach a retailer, they'll ask for your UPC, product description, case pack quantity, and wholesale price. They enter this data before your product appears on their shelves. If they entered your UPC incorrectly, your product won't scan.
The difference between retail barcodes and internal barcodes
Your internal inventory barcodes and your retail UPC barcodes are different things.
Internal inventory barcodes can use any number you assign. Nobody outside your warehouse needs to read them. They exist to help you count your own stock.
Retail UPC barcodes must use a GS1-registered company prefix. Every major retailer, distributor, and supply chain system validates that the UPC matches a registered company. A barcode generated with a random 12-digit number will scan, but the verification layer will fail — and some retailers have automated detection for unregistered prefixes.

What the barcode label needs to contain
A retail barcode label has two components: the machine-readable barcode (the bars) and the human-readable number (the digits below). Both must be present. Cashiers use the number to manually enter codes when scanners fail.
Minimum print specifications for retail:
- Bar height: at least 18.28mm (0.72 inches)
- Minimum module width (X dimension): 0.264mm
- Print quality: high-contrast black bars on white background
- Avoid printing on reflective, textured, or colored surfaces — they won't scan reliably

Before you approach a retailer
Before submitting your product to any retailer, verify:
- You have a GS1-registered company prefix and valid GTINs assigned to each product variant.
- Your barcode prints at the correct size and passes a scan test with a basic barcode scanner.
- You have your product data sheet ready with UPC, product name, case quantity, dimensions, and weight.
A product that arrives at a retailer without a valid scanning barcode is either refused or manually entered — and manually entered items often get mis-priced, mis-counted, or quietly removed from reorder cycles.
